Montreal pilot legal notice

Privacy Policy

Last updated: September 30, 2026

BarberNow is designed to help customers find and book independent barbers while limiting unnecessary access to personal information.

Pilot scope: These terms apply to the BarberNow Montreal pilot and may be updated as the service evolves. Mandatory rights under applicable law remain unchanged.

Information we collect

Account information may include your name, email address, verified phone number, optional profile photo, language preference and saved discovery locations. Booking information includes appointment details, messages, reference photos, reviews and booking-linked safety reports. Barbers also provide private verification, work-location, scheduling and billing information.

Location information

Customer discovery location is used to find nearby barbers and measure approximate unmet demand. Device geolocation is requested only when location is needed for the feature you are using; you may deny browser location permission and search for an area manually instead. For a confirmed Available Now booking only, BarberNow may request live device location after the barber accepts so the matched barber can see the customer's current approach position, approximate distance and ETA until arrival or service start. You may deny that live-location permission; the booking remains confirmed, but the barber will not receive live approach updates. Scheduled appointments do not use live approach tracking. The live approach record stores only the latest point rather than a route history and is deleted when arrival/service begins or when the short-lived tracking state expires. Outside that immediate-booking flow, BarberNow does not show individual customer discovery coordinates or saved home locations to barbers. A barber's exact work address remains private until a booking is confirmed, except where operational access is required by BarberNow administrators.

How we use information

We use personal information to provide discovery and booking, verify accounts and barbers, prevent overlapping or fraudulent activity, send operational booking notifications, provide support, enforce platform rules, process BarberNow fees owed by barbers, investigate safety reports and measure marketplace reliability.

Payments and billing

During the Montreal pilot, customers pay barbers directly outside BarberNow. BarberNow uses Stripe for the barber's platform billing method. Card entry is handled by Stripe's hosted flow; BarberNow stores provider references and limited card metadata such as brand, last four digits and expiry, not raw card numbers.

Service providers

BarberNow may use service providers such as Base44 for application infrastructure, Stripe for barber billing, Twilio for phone verification and operational SMS, and Mapbox for map/location services. Depending on provider infrastructure, some processing may occur outside Quebec. Where applicable, BarberNow considers relevant privacy factors before such processing and relies on provider agreements and safeguards appropriate to the service.

Retention and deletion

BarberNow keeps personal information only for as long as it is reasonably needed for the purposes described in this policy, including account operation, booking history, billing, fraud prevention, disputes, safety and legal obligations. Saved discovery locations remain in your account until you remove them or the account data is deleted. A deletion request is reviewed before action is taken because limited booking, billing, fraud-prevention, safety or legal records may need to be retained.

Your choices and rights

You may update account information, language preferences and saved discovery locations in the app. Authenticated customers and barbers can submit an in-app privacy request for access, correction, deletion review, or a privacy question or complaint. You may also ask about the categories of information collected, categories of people with internal access, and applicable retention periods. Where processing relies on consent, you may withdraw that consent subject to applicable legal or contractual limits. BarberNow may request additional identity verification before releasing or deleting information. Access and correction requests are handled in writing within 30 days of receipt where required by Quebec private-sector privacy law. Marketing communications, if introduced later, will use separate consent controls from essential booking communications.

Privacy governance and complaints

For the Montreal pilot, the person with highest authority at BarberNow performs the Privacy Responsible Person function. BarberNow limits internal access to personal information to people who need it for their duties, maintains written retention/destruction and confidentiality-incident procedures, and accepts privacy complaints through the authenticated privacy-request process or the public privacy contact shown below. Privacy practices are reviewed as the service, providers and data flows change.

Security and incidents

BarberNow uses role-based access, private backend entities and server-mediated functions for sensitive booking, safety and billing data. No system can guarantee absolute security. BarberNow will maintain an incident-response process appropriate to applicable Quebec and Canadian privacy requirements.

Changes

We may update this policy as the pilot evolves. Material changes will be reflected by a new effective date and, where appropriate, additional notice.

Privacy Responsible Person

For the Montreal pilot, BarberNow’s highest-authority operator performs this role. Signed-in customers and barbers can submit a written, authenticated privacy request directly in BarberNow, or use the public privacy email below.
